Understanding transcription

Self-Hosted vs Cloud Transcription: How to Choose

Cloud transcription is faster to start; self-hosted keeps recordings on your hardware. A plain comparison of privacy, cost, speed and effort.

Choose cloud transcription when convenience matters most and the recording is not sensitive. Choose self-hosted transcription when the recording must not leave your control. Most people need both at different times, and the deciding factor is the recording, not the tool.

Privacy and control

A cloud service receives your recording and processes it on its own servers, under its own retention and access rules. You rely on its policy and its security. Self-hosting removes that third party from the path: processing and storage happen on your infrastructure, and the retention rules are yours to set.

Setup and effort

Cloud wins clearly here. You sign up and upload. Self-hosting means installing the software, keeping it updated, backing up its data and securing the machine it runs on. If nobody in the organisation wants that job, self-hosting will not stay healthy.

Speed

Large cloud providers run on powerful hardware and usually finish quickly. On your own processor, speed depends on the machine and the model you pick. Smaller models are quick and less accurate; the largest are slower and more accurate.

Cost

Cloud services typically charge by the minute or by a monthly plan. Self-hosting removes the per-minute charge but adds hardware, electricity and administration time. For occasional use, cloud is usually cheaper overall; for steady volume or strict confidentiality, self-hosting can make more sense.

A simple way to decide

  • Not sensitive, one-off: a hosted service is fine.
  • Confidential, regular: self-host.
  • Contractually restricted: self-host, and check the contract's wording.
  • Unsure: treat it as sensitive until someone with the authority says otherwise.

Scriptorium offers both: a hosted workspace for quick, non-sensitive files and self-hosted transcription when a recording has to stay on your own hardware.

Questions

Is cloud transcription unsafe?
Not necessarily. Reputable services protect data carefully. The question is whether you are permitted to, or comfortable with, passing the recording to a third party at all.
Can I start in the cloud and move to self-hosting later?
Yes. Transcripts export as text, captions, Markdown, JSON or CSV, so moving between deployments does not trap your work.
Which is better for meetings?
For routine internal meetings, either. For board, legal, medical or HR conversations, self-hosting avoids the third-party question entirely.
